Permit Application and Space Reservation by University Entities – Individuals, Departments, and Registered Student Groups

Administrative Procedure

University departments and registered student groups must submit the Outdoor Space Permit and Space Reservation Application a minimum of ten business days in advance of the event, or twenty business days if hosting an organized run, or if security or traffic management may be required, or if the event involves an outdoor display. Large outdoor events, including concerts, require applications to be submitted up to twelve weeks in advance to allow for the additional planning time needed for such large-scale events. Any Outdoor Space requests that do not meet the required advanced reservation time may be considered and require special review/approval by University Services and the Office for Student Affairs.

Event sponsor must have the permit with them at the event and be prepared to show the permit if requested by University officials.

Permit Application and Space Reservation Process

University Departments

  1. Submit the application online to Student Unions & Activities, who coordinates review by the Office of Facilities Management Landcare and appropriate University of Minnesota departments.
  2. Questions or concerns will be addressed with the applicant by Facilities Management Landcare.
  3. If the application is submitted more than 60 days before the event, the application will go through a preliminary review upon initial receipt and a final review 60 days before the event.
  4. After review and approval, a permit is issued by Office of Facilities Management Landcare.

Registered Student Groups

  1. Submit the application online for review by Student Unions & Activities and appropriate University of Minnesota departments.
  2. Questions or concerns will be addressed with the applicant by Student Unions & Activities.
  3. If the application is submitted more than 60 days before the event, the application will go through a preliminary review upon initial receipt and a final review 60 days before the event. Submit the application online to Student Unions & Activities, who coordinates review by the Office of Facilities Management Landcare and appropriate University of Minnesota departments.
  4. After review and approval, a permit is issued by Office of Facilities Management Landcare.
