- Must preexisting electronic documents be made accessible?
Documents that meet all of the following requirements are considered “preexisting electronic documents” that do not need to meet the accessibility standard set forth in the Administrative Policy on Accessibility of Digital Content and Information Technology (“the Policy”):
- the documents were available on the University’s website or mobile app before April 24, 2026;
- the documents are word processing, presentation, PDF, or spreadsheet files; and
- the documents are not currently being used to apply for, access, or participate in the University’s services, programs, or activities.
However, the responsible unit or individual must provide the document in an accessible format or otherwise enable equitable access to the document’s content when an individual requests access to the document as a reasonable accommodation for disability.
- How must responsible units and individuals label preexisting electronic documents?
Responsible units and individuals should use the following language to communicate that a preexisting electronic document does not meet the Policy’s accessibility standard: “This document was created before current policy requirements took effect, and therefore may not be accessible. To request this content in an accessible format, contact [insert email address].” This language should be noted on the website or other location where the document is located. This language should not be placed on the document itself, as the document must remain unchanged to qualify for the preexisting document exemption.
