Graduate Students approved for a Leave of Absence/LEAV must have the leave indicated in the Program Plan component of PeopleSoft. A Return from Leave of Absence/RLOA may also be indicated at the same time (or later).

Purpose

Adding a program action of Leave of Absence/LEAV to the Program Plan will:

  • make a student inactive and prevent registration
  • provide a visual cue of when the leave begins

Adding a Return from Leave of Absence/RLOA to Program Plan will:

  • make a student active and allow registration
  • allow a student to be auto term activated
  • allow a student to be auto assigned an appointment date and time
  • provide a visual cue of when the leave ends

To add a leave of absence to students who have not registered (at all) in a term.

Go To: Records and Enrollment > Career and Program Information > Student Program Plan

  1. Add a row on the Student Program page
  2. Enter the effective date of the day before the start of the term the leave begins
  3. Select the program action of LEAV
  4. Save the changes

Note: Students will now be unable to register for the leave term

To add a leave of absence to students who have registered and decided to take a leave during a term.

  1. Add a row on the Student Program page
  2. Enter the effective date of the 2nd day of the term the leave begins
  3. Select the program action of LEAV
  4. Save the changes
  5. Go to: Records and Enrollment >Student Term Information >Term Activate a Student.
  6. Uncheck the eligible to enroll checkbox for the term the student is on leave
  7. Save the page

Note: Using the 2nd day of the term allows tuition calculation to run against the account that is created by the initial registration. Unchecking the check box on term activation insures that the student is ineligible to enroll for the leave term.

To add a return from leave of absence for all students

Go To: Records and Enrollment > Career and Program Information > Student Program Plan

  1. Add a row on the Student Program page
  2. Enter the effective date of the first day of the term the student is to return
  3. Select the program action of RLOA
  4. Save the changes

Note: By placing the RLOA row on the record approximately 3 weeks prior to the opening of the registration period an appointment is created for the student. If the RLOA is added after that time it is necessary to manually add an appointment. The term activation process runs nightly but may be added manually if immediate registration is desired.
