Policy Statement

Individuals (e.g., coaches and other staff members in the athletics program) wishing to access information on a student athlete’s academic progress, standing, or attendance in class must submit their request to the Compliance Director of Faculty Athletic Representation.  Requestors are prohibited from contacting the student athlete’s faculty member or coach through any mechanism (written, face-to-face, or email.)

The Compliance Director or the Faculty Athletic Representative to be the contact between the coaches/athletic staff and the faculty/instructor regarding any issues related to student-athlete academic progress or attendance. This means that coaches and other staff members in the athletics program may not directly contact faculty members about the academic standing or progress or personal matters of a student-athlete in a course (either by written, face-to-face contact, or via email or voicemail). It also means that faculty/instructors may not directly contact a coach to obtain information about a student-athlete (either by written, face-to-face contact, or via email or voicemail).

If, at any time, a faculty/staff member or academic advisor has questions, concerns, or needs, the faculty/staff member or academic advisor should contact the Faculty Athletic Representative

The Compliance Director will report any issue regarding contact to the Intercollegiate Athletic Committee as needed.

Reason for Policy

This policy provides coaches, other staff members in the athletics program, faculty/staff, and academic advisors, a process to request and provide appropriate academic related information about a student-athlete's progress while avoiding any appearance of improper contact.

Procedures

If a coach or other staff member in the athletics program needs information regarding a student-athlete’s academic progress:

  1. The Compliance Director or the Faculty Athletic Representative should be contacted. The Compliance Director or the Faculty Athletic Representative should initiate any contact with a faculty/staff member regarding academics or class attendance.
  2. If however, the Compliance Director or the Faculty Athletic Representative is unable to obtain the necessary information about a student-athlete, the Compliance Director or the Faculty Athletic Representative should inform the Academic Department Head. The Academic Department Head will then contact the faculty/staff member.
  3. If not resolved, the Compliance Director or the Faculty Athletic Representative will coordinate a meeting with the Academic Department Head and the faculty/staff member.
