Permit Application and Space Reservation by University Entities – Individuals, Departments, and Registered Student Groups

University departments and registered student groups must submit the Outdoor Space Permit and Space Reservation Application within the stated minimum days in advance of the event date, depending on the nature of the event.

  • Minimum of thirty days in advance - when hosting an organized run, if security or traffic management may be required, or if the event involves an outdoor display.
  • Minimum of twelve weeks in advance - for large outdoor events, including concerts. This allows for the additional planning time needed for such large-scale events.
  • Minimum fourteen days in advance of the event (all other).

Any Outdoor Space requests that a re not submitted within the specific time frame may still be considered. These late requests require special review/approval by University Services and the Office for Student Affairs.

Event sponsors must have the permit with them at the event and be prepared to show the permit if requested by University officials.

Permit Application and Space Reservation Process

University Departments

  1. Submit the application online to Student Unions & Activities, who coordinates review by the Office of Facilities Management Landcare and appropriate University of Minnesota departments.
  2. Facilities Management Landcare  will address any questions or concerns they have with the applicant.
  3. If the application is submitted more than 60 days before the event, the application will go through a preliminary review upon initial receipt and a final review 60 days before the event.
  4. After review, a permit is issued by the Office of Facilities Management Landcare  if approved .

Registered Student Groups

  1. Submit the application online for review by Student Unions & Activities and appropriate University of Minnesota departments.
  2. The Student Unions and Activities group will address any questions or concerns they have with the applicant.
  3. If the application is submitted more than 60 days before the event, the application will go through a preliminary review upon initial receipt and a final review 60 days before the event.  
  4. After review, a permit is issued by Student Unions & Activities if approved.
