ADMINISTRATIVE PROCEDURE

Retention of University Records

When creating or receiving information, classify the records according to the content of the information or the unit's file plan.

Retain active information in media that are easily available for use.

Maintain information according to privacy and security requirements on the Privacy and Data Security website.

When information becomes inactive, check the University-Wide Records Retention Schedule to see if the information can be disposed. If you do not see your information listed, contact the Records and Information Office at 612-625-3497 or mckin018@umn.edu.

If storing University records at Rosemount, follow Guidelines for Storage of University Records at Rosemount. Contact the Records & Information Management Office at 612-625-3497 or mckin018@umn.edu.

Contact University Archives for those materials scheduled for transfer or offer to University Archives.

If migrating media from one format to another, e.g. paper to electronic, destroy the original media according to the procedure for Disposing of University Records once the new copy has been verified.

Destroy University information according to the Destruction of University Records procedure.
